Follow these step-by-step instructions to initialize your school portal, configure student directories, and structure fee ledgers.

1. Getting Started

When your school is onboarded, the system provisioner maps your dedicated tenant domain (e.g. `your-school.parthnex.com`). Ensure you have received your master administrator username and temp password.

First Actions:

  • Log in to the administrator portal.
  • Go to Settings > Tenant Profile and upload your school's logo and official letterhead.
  • Change your temp password under Security > Profile settings.

2. Student Admissions

Before assigning students to classrooms, you must build your academic branches (e.g., Nursery, Primary, High School).

Adding student registers:

  • Go to Academics > Manage Classes and create sections (e.g. Section A, Section B).
  • Use the Bulk Import Panel to upload lists in CSV format, matching headers for Student Name, Roll Number, Parent Phone, and Address.
  • The system generates parent/student login tokens automatically, which can be printed or distributed via SMS.

3. Attendance Setup

Daily school attendance registers can be configured for classroom roll calls or automated bio-metric sweeps.

Register configurations:

  • Select Academics > Attendance settings.
  • Configure class teachers with edit permissions for registers.
  • Set up your automated absentee notification time window (e.g. send parents SMS if a student is absent by 9:30 AM).

4. Fees Management

Maintain accurate records by creating distinct fee structures for various grades.

Structuring a new fee:

  • Navigate to Finance > Fee Groups and create a target group (e.g., Grade 10 Tuition).
  • Add specific ledger items (e.g. Base tuition fee, Computer fee, Science lab fee).
  • Assign sibling discount exemptions using the concession editor.

5. Troubleshooting

If a parent reports that they are not receiving SMS absent notifications, verify the parent mobile number contains the correct country code under Students > Profile view.

If the real-time transport map displays a vehicle as offline, check that the vehicle tracker is powered on and has network GPS locks.
